VENUE RENTAL FEES

Ballrooms and Event Spaces

  • Grand Ballroom
  • Empire Ballroom
  • Flemish Room

General Guidelines

  • Function space and rental fees are designated by the estimated number of guests, the amount of food and beverage purchased, and the setup/audio-visual requirements.
  • The hotel reserves the right to reassign function space should the originally anticipated requirements or number of guests be altered.

Fees to Consider

  • Bartenders: $100 for the first three hours, $25 for each additional hour (one bartender recommended per 50 guests).
  • Chef Attendant: $100 per chef for each attended station.
  • Room Blocks for Guests: Reduced room rates for wedding guests, with a room block agreement and coordination provided by the hotel's social room block coordinator.
  • Parking: Pricing for designated parking areas for guests can be provided by your catering manager.

Food and Beverage Minimums

  • The food and beverage minimums can significantly impact the overall cost. These minimums vary based on the day of the week, time of year, and the specific space being reserved.
  • Service Charge and Taxes: All prices are subject to a 13.5% combined tax and a 20% service charge.

Deposits and Payments

  • Initial Deposit: A non-refundable advance deposit is required upon signing the agreement to confirm the reservation.
  • Payment Schedule: Full payment of estimated charges is required five business days in advance for all social functions.

Sample Calculation

Here's a rough estimate to give you an idea:

Assumptions:

  • Renting the Grand Ballroom for 150 guests.
  • Mid-range food and beverage package (dinner service, hors d'oeuvres, open bar).
  • Required service staff (bartenders, chefs, attendants).

Estimated Costs:

  • Venue Rental Fee: $2,000 - $5,000 (depends on the season)
  • Food and Beverage Minimum: $150 per guest x 150 guests = $22,500
  • Service Charge (20%): $22,500 x 0.20 = $4,500
  • Taxes (13.5%): $22,500 x 0.135 = $3,038
  • Bartenders: 3 bartenders x $100 (first 3 hours) + 3 x $50 (additional 2 hours) = $450
  • Chef Attendants: 2 chefs x $100 = $200
  • Miscellaneous Fees (attendant fees, etc.): $500 (estimate)

Total Estimated Cost: $2,000 - $5,000 (venue) + $22,500 (food and beverage) + $4,500 (service charge) + $3,038 (taxes) + $450 (bartenders) + $200 (chefs) + $500 (miscellaneous) = $33,188 - $35,188

Note: These are estimated costs and can vary. It's best to contact The Jefferson Hotel's catering manager directly for a detailed quote tailored to your specific event requirements.
