9:00 a.m. - Venue Access Begins-
9:00 a.m. - Start setting up for ceremony, organize decor for reception
10:00 a.m. -Lighting sets up
11:30 a.m. - Bridal Party arrives for getting ready brunch and set up
11:00 a.m. - Hair/Makeup Arrives
12:00 p.m. - Kaia and bridesmaids start getting ready in Bridal Suite
2:00 p.m. -Groom and Groomsmen get ready in Groom Room
2:00 p.m. - Photographer arrives
2:00 p.m. - Cupcakes dropped off
3:00 p.m. - First look at City Club, Bridal Party and Family shots
3:00 p.m. - City Club Catering Staff arrives
TBD -DJ arrives
5:30 p.m. - Wedding Party heads back to bridal suites for touch ups
5:30 p.m. - Mitchell (Kaia’s brother) heads up stairs to help usher guests

- City Club Staff begins flipping space
6:40 p.m. - Family quickly takes pictures on tile floor
7:00 p.m. - B&G take plates to groom room for private dinner
- plate prepped for photographer as well
7:15 p.m. - Staff begins watering table and pouring champagne
7:15 p.m. -Barbacks start transferring bar to Main Hall
7:20 p.m. - Start sending people up for reception (remind to pick up escort card)
7:20 p.m. -Line up Wedding Party for intros
7:25 p.m. - Staff has two plates waiting for Bride and Groom at the head table prior to intros
7:30 p.m. -Bridal Party Intros:
-Kaia and Eric Spencer announced as one with Bridal Party
7:35 p.m. - Father of the Bride gives Toast (David McCullough)- at head table
7:40 p.m. -Dinner Begins - DJ announces for guests to stay seated until released
- Head Table goes first, B&G tap tables with a picture (starting w/ family tables)
8:20 p.m. -First Dance
-Kaia and Eric
8:25 p.m. -Open Dance Floor
8:50 p.m. -Staff breaks down buffet
9:30 p.m. - Cake Cutting (cupcakes)
10:10 p.m. - Last Call
10:15 p.m. - Getaway car arrives
10:20 p.m. - start lining people up for sparkler exit
10:30 p.m. - Sparkler Exit (in front of main building)
FLIP NOTES:
Pull all tables and decor out to wood floor so wedding party can take pictures on stage
Move “Spencer” sign above the hall door
Prepare 3 plates for B&G and photographer ASAP prior to reception
